SAP Business One or Business Central: which suits your UK business?

SAP Business One vs Business Central is the shortlist many UK finance directors end up with. This comparison sets out how they differ on scope, cost, deployment and partners, and who each suits.

Last updated 28 October 2026

When UK companies outgrow their accounting package and spreadsheets, the shortlist often narrows to two names: SAP Business One and Microsoft Dynamics 365 Business Central. Both are established ERP systems aimed at small and mid-sized businesses. Both cover finance, sales, purchasing and stock. They differ in heritage, in how they are bought and in the kind of company they fit best.

This page compares SAP Business One vs Business Central on the points that matter in a British context, then gives a verdict by profile. If you are still at an earlier stage, start with our guide on how to choose an ERP.

The table is a starting point. Your own processes, and the quality of the integrator, usually outweigh any product-level difference.

Scope and functionality

Both products cover the core: general ledger, accounts payable and receivable, banking, sales orders, purchase orders, stock, and reporting.

SAP Business One has a strong reputation for inventory and operations. Companies that manage batches, bills of materials, warehouses and production orders often find its structure natural. It also benefits from a long-standing ecosystem of industry extensions. SAP reports that the product is distributed through 850 partners, with more than 500 industry and country extensions (SAP, December 2025). For a niche sector, that breadth can mean an existing solution rather than a bespoke build.

Business Central is strong where finance meets everyday office work. Its interface follows Microsoft conventions, which shortens the learning curve for teams who live in Excel and Outlook. Approvals, reminders and data exports sit close to tools people already use. Extensibility comes through Marketplace apps and the wider Microsoft platform.

Neither product is a specialist for every sector. If you operate in manufacturing, wholesale or construction, read our pages on manufacturing ERP and wholesale and distribution ERP before shortlisting, because the configuration matters as much as the brand.

Deployment: cloud, hosted or on-premise

Business Central is built around the Microsoft cloud. Updates are delivered on a managed schedule, which reduces the burden on your own IT team but means you work to the vendor's release rhythm.

SAP Business One offers more variety. Depending on the partner, it can run on your own servers, in a hosted environment or in a cloud arrangement. That flexibility suits companies with specific data residency or integration requirements, but it also means responsibility is shared. Ask in writing who looks after backups, security patches and upgrades.

Cost: licences, users and implementation

Cost is where comparisons most often go wrong, because the two vendors present prices differently.

Microsoft publishes subscription tiers for Business Central. On its US pricing page, Essentials is listed at 80 USD per user per month, Premium at 110 USD per user per month and Team Members at 8 USD per user per month, all billed annually. Microsoft states that displayed prices may differ from the actual catalogue price depending on currency, country and regional variant, with the final price shown at checkout. For a UK purchase, expect a GBP price from your integrator, not a conversion of these figures.

SAP Business One is sold through its partner network, and the commercial package depends on the user types, the modules, the hosting model and the services included. There is no single public price to quote, so request a detailed written proposal.

Whichever product you favour, compare the whole picture:

  • licences or subscriptions, by user type;
  • implementation and configuration services;
  • data migration and training;
  • add-ons and integrations, for example with your e-commerce platform or bank;
  • support and hosting;
  • internal time from your own team.

Our ERP cost guide sets out a checklist you can use to put two quotes side by side.

UK localisation, VAT and compliance

For a British company, local compliance is not optional. You need VAT handling, support for Making Tax Digital submissions to HMRC, sterling banking, and for some sectors the Construction Industry Scheme.

Microsoft provides Business Central localisation directly for 21 countries, and the United Kingdom is among them. For other countries, localisation comes from partner-developed apps on Marketplace. In practice this means that UK users get a first-party localisation rather than relying on a third-party add-on.

SAP says Business One is used in more than 170 countries, in 28 languages with 50 country localisations (SAP, December 2025). The product is therefore proven internationally, which is helpful if you have subsidiaries abroad. For the UK, the practical point is how your chosen partner configures VAT, MTD connectivity and CIS or other sector rules. Ask for a demonstration with your own scenarios, not a generic one.

Electronic invoicing is becoming a wider topic across Europe, and UK companies trading with the continent may need to exchange structured invoices. Our guide on ERP and e-invoicing explains what to check.

Ecosystem, partners and support

The quality of an ERP project is mostly the quality of the team delivering it. Both products are implemented by independent integrators, not by the publishers themselves.

SAP quotes more than 83 000 customers and 1.2 million users for SAP Business One (SAP, December 2025). That scale means a mature partner community and a good supply of experienced consultants, although quality varies by firm.

Business Central also relies on a large partner base, and its tight fit with the Microsoft stack means many IT service providers can support it alongside your existing environment.

Which one for which profile?

Stock-heavy or production-led SME

If your operation depends on batches, warehouses, bills of materials and production orders, SAP Business One deserves close attention. Test the production and stock scenarios in the demonstration, and check that a partner with real sector experience will deliver them.

Services, distribution or finance-led business on Microsoft 365

If your team lives in Excel, Outlook and Teams, and finance is the centre of gravity, Business Central is often the more natural fit. Adoption tends to be easier when the interface feels familiar.

Group with several entities or overseas subsidiaries

Both products can handle multiple entities. SAP's international footprint is an advantage for groups with foreign subsidiaries, while Business Central's first-party UK localisation helps a primarily domestic group. Test intercompany processes and consolidation in the demonstration.

Company with strict IT or hosting constraints

SAP Business One's range of deployment options can help when you need control over where the system runs. If you prefer to hand infrastructure to the vendor, Business Central's cloud model is simpler.

Scale-up expecting rapid growth or international expansion

Both can scale for a growing SME, but a company that is likely to outgrow either should also look at Oracle NetSuite against Business Central. If you prefer a modular, lower-licence alternative, compare Odoo against Business Central or Odoo against SAP Business One.

How to run a fair evaluation

  1. Write down your core processes. Quote to cash, procure to pay, stock control, month-end close and VAT reporting are a good start.
  2. Ask each integrator to demonstrate those processes with representative data, not a polished standard demo.
  3. Request itemised written proposals covering licences, services, hosting and support.
  4. Check references in your sector and of your size, and ask what went wrong as well as what went well.
  5. Agree the governance: who owns the project internally, how changes are handled and what the exit terms are.

Many failures come from poor scoping rather than the software. The ERP project mistakes guide covers the usual traps.

Our verdict

There is no universal winner between SAP Business One and Business Central. Choose SAP Business One when operations, stock and production drive your needs and you value a broad catalogue of industry extensions. Choose Business Central when your finance team and staff work in the Microsoft environment and you want a first-party UK localisation and a familiar interface.

Whichever you lean towards, the integrator you pick will shape the outcome more than the logo on the box. Read the individual pages for SAP Business One and Microsoft Dynamics 365 Business Central for more detail, or ask for a free introduction to integrators who work with both.

Frequently asked questions

Is SAP Business One better than Business Central?

Neither is better in the abstract. SAP Business One tends to suit companies with strong stock, production or multi-entity needs and a preference for an SAP-led roadmap. Business Central tends to suit companies already working in Microsoft 365 that want familiar screens and a tight link to Excel, Outlook and Power BI. The deciding factors are your processes, your integrator and your existing tools.

Which is cheaper, SAP B1 or Dynamics 365 Business Central?

It depends on the licence model, the number and type of users, the add-ons and the implementation effort. Microsoft publishes per-user subscription tiers for Business Central, while SAP Business One pricing is set through its partners. Compare a full three-year or five-year cost from two written quotes rather than the licence line alone. Our [ERP cost guide](/guides/erp-cost/) explains what to include.

Does Business Central work for UK VAT and Making Tax Digital?

Microsoft provides the Business Central localisation for the United Kingdom directly, which covers local accounting and tax requirements. How VAT returns are submitted to HMRC under Making Tax Digital depends on the version, the connectors in place and your integrator's setup, so ask for a live demonstration of your own VAT scenarios.

Can SAP Business One be used in the cloud?

SAP Business One can be deployed in different ways, including hosted and cloud arrangements delivered through partners. The model, the hosting provider and the support terms vary from one partner to the next, so confirm exactly who runs the infrastructure, who is responsible for upgrades and what happens to your data if you change supplier.

How do I choose between the two without a technical background?

Write down your key processes, such as quote to cash, procure to pay and stock control, and ask two or three integrators to demonstrate them on your own data. Judge the demonstration, not the brochure. If you would like help, we introduce you free of charge to certified integrators who work with each product, and you decide who to talk to.
